Job Title: Finance Assistant

Starting day :15 February 2022

NMO is a registered national NGO with the Ministry of Social Affairs and Labor No. 284. Our mission is to take the lead to empower communities in Yemen through humanitarian response and sustainable development programs in a professional way through effective partnerships. NMO started its activity in Yemen since 2012, and has been implementing projects in 5 sectors namely FSL, Education, WASH, Shelter, and Governance and skill-building.

Tasks and Responsibilities:

1- Compiling and organizing the organization's cash plans and projects

2- Managing the fund from receiving and disbursing amounts according to the requests and statements submitted separately to the organization and projects after checking and matching them with the allocated balances and appropriations

3- Receiving and supplying all cash amounts to the fund according to the needs and plans submitted by the work teams (logistics, programs, human resources)

4- Conducting weekly matching operations of the fund for the projects and the organization in cooperation with the direct supervisor.

5- Conducting cash settlements and submitting fund reports to the direct official.

6- Signing the covenant requests after making sure that there are sufficient allocations.

7- Review and check the documents of the covenant that are ready for liquidation and make sure that they do not exceed the value of the original covenant and sign it.

8- Writing the cash vouchers and stamping it with a paid stamp and attaching it with the papers and statements and handing it over to the financial assistant (the registration specialist in the system) to record it in the accounting system.

9- Strengthen professional and positive relationships with exchange companies

and banks, and obtain offers for the services they provide when needed.

10- Executing banking transactions such as (transfer request letters - bank statements reports - check books request - depositing the returned amounts available in the fund).

11- Deposit checks of government institutions such as insurances and taxes, and take a receipt voucher by receiving the check and handing it over to the registration specialist in the system.

12- Examining statements related to accommodation and travel allowances and statements of entitlements of survey and evaluation teams, verifying the correctness of operations, data and amounts, and signing them.

13- Writing checks for purchases, tenders, services and beneficiaries according to the information of each project and its bank account, and following up their signature and stamping by authorized persons.

14- Communicate with project managers and human resources and send copies of the remittance numbers statements so that they, in turn, inform the recipients of their remittance numbers and other receipt information.

15- Correspond and follow-up exchange companies after transferring remittances to the beneficiaries of the projects and the main center to receive the confirmed statements for receiving the beneficiaries and matching them with the original statements.

17- Handing over checks to authorized recipients, suppliers, contractors and other service providers, after verifying their official and personal papers and matching their stamps and receipt vouchers.

18- Archiving all remittance statements and reports confirming receipt of remittances electronically for reference when needed.

19- Keeping check books and check exchange vouchers, reviewing and inventorying them.

20- Deportation of all papers and documents of the transfer that took place, the voucher of exchange, the bank notice and the statements confirming receipt for the archive after being signed by the financial officer and stamped with the organization’s seal (paid).

21- Go to the projects sites in the governorates to determine the reality of the mechanism for disbursing the beneficiaries’ sums by the exchange companies.

22- Prepare all required reports and send them to the line manager.

23- Active participation in periodic meetings and meetings in the organization.

24- Investing in opportunities and resources for self-learning and developing a network of professional relations in a way that raises specialized competence.

25- Archiving his documents according to the archiving system used in the organization

26- Follow the occupational safety and health instructions while performing the tasks.

27- Raise suggestions and perceptions that would raise the level of performance in the organization and inform the concerned persons of any matters that might affect the integrity, impartiality and reputation of the organization.

28- Comply with the systems, procedures, principles and institutional values considered in the organization.

28- Performing other duties related to the job field as requested by the direct manager.

Qualifications, Skills and Experience:

-Bachelor's degree in Accounting, Computer or Communications

- one year experience in working with humanitarian organizations in the field of accounts

- Very good English Language Skills.

- Work under pressure skill

- Good Knowledge of accounting software.

- Good knowledge of M S Microsoft programs

- Focus and alertness skills

- Good knowledge of the approved laws, regulations, and instructions related to the job related to the work of the organization
