NMO is a registered national NGO with the Ministry of Social Affairs and Labor No 284. Our mission is to take the lead to empower communities in Yemen through humanitarian response and sustainable development programs in a professional way through effective partnerships. NMO started its activity in Yemen since 2012, and has been implementing projects in 5 sectors namely FSL, Education and Child Protection, WASH and Health, Shelter and CCCM, and Governance and skill-building.
Tasks and Responsibilities
- Preparation of all contracts for the Office's employees and projects
- Organizing and keeping individual employee records, ensuring the completion of documents in accordance with the requirements of the job file, and maintaining the integrity and confidentiality of data
- Preparing and updating the employee database periodically
- Preparing and updating a database of all job applicants and participating in their employment to serve the organization
- A representative of the organization in communicating with the health insurance company on all related issues and working with them as a link on all issues and claims of employees and following up on their needs
- Archiving attendance reports and their attachments for employees, on paper and electronically, monthly
- Periodic inventory of self-learning plans for the units and sending reports to the human resources officer
- Participate in the annual implementation of the organization's training needs study
- Participate in the implementation of recruitment processes according to the organization's procedures, with the highest level of transparency and equal opportunities for competitors
- Participate in coordinating the induction sessions for new employees
- Participate in the preparation, coordination, and implementation of training courses according to the approved plan, and submit reports and recommendations to the human resources officer
- Participation in the preparation and arrangement of activities and events related to the dissemination of culture, regulations, institutional visions, and positive relationships between the team to achieve the continuous improvement of the working environment
- Participate in preparing donors’ and auditors' human resources requirements, as requested by the line manager
- Participation in the selection of volunteers and workers at the organization's daily wages and projects
- Timely receipt and follow-up provision of staff requirements
- Handing over stationery, tools, materials, and equipment for maintenance and cleaning to maintenance and cleaning officials and employees according to the procedures followed
- Supervising all cleaning and maintenance works, raising their needs, following up on their implementation, and supervising the provision and hospitality of guests
- Overseeing the process of periodic inspection of the organization's buildings, offices, and operational assets on an ongoing basis to ensure its continuity in work
- Preparing the financial dues for volunteers, field workers, and daily wage workers, and following up on their delivery to the financial department
- Preparing monthly plans and reports and submitting them to the line manager
- Active participation in the periodic meetings and gatherings of the organization
- Investing in opportunities and resources for self-learning and developing a network of professional relationships to raise specialized competence
- Follow occupational safety and health instructions while performing tasks
- Submit proposals and perceptions that would raise the level of performance in the organization and inform the concerned persons of any matters that may affect the integrity, impartiality, and reputation of the organization
- Compliance with the organizational systems, procedures, principles, and values adopted by the organization
- Perform other duties related to the field of the job and as requested by the direct manager
Qualifications and Experience
- Bachelor’s degree in business administration or related field
- One year to two years experience in working with humanitarian organizations in the field of Human Resources
- Intermediate level in written and spoken English
Skills and Qualities
- Knowledge of the laws regulating work and employment in the Republic of Yemen and the wage and employment systems
- The ability to learn quickly and self-growth
- Ability to multi-task and meet deadlines
- Ability to travel independently to the targeted governorates when required
- Strong task management skills including attention to detail to achieve timeliness and required quality
- Ability to work independently, problem-solving, and make decisions skills
- High skills in coordination, communication, persuasion, and presentation
- Advanced computer skills in MS Office programs, particularly Excel
- Strong organizational skills and ability to multi-task
- Understanding of gender, protection, and human rights
- Honest, hardworking, and committed to community development
- Ability to submit work on time under intense deadlines
- Must be able to submit documentation confirming ability to work legally
